Mastering App Visibility and Access in Go High Level: A Comprehensive Guide

In this detailed guide, we'll navigate through the essential steps to manage and control app visibility within the Go High Level platform. As an agency user, understanding these functionalities will empower you to tailor the app marketplace experience precisely to your needs and those of your clients.

Understanding App Permissions

To begin, ensure you're logged into your GHL account at the agency level. From here, access the app marketplace via the side navigation menu. Look for the "Manage App Permissions" option located at the top to initiate customization.

Configuring Global App Permissions

Upon clicking the gear cog symbol, you'll enter the realm of global app permissions. This dashboard allows you to toggle various switches that dictate how apps are displayed and accessed across your organization:

Disable App Marketplace Access: This setting restricts access to the app marketplace entirely, ensuring only agency-level users can view and interact with apps. It's crucial for maintaining strict control over app installations and usage.

Access Only Installed Apps: By enabling this option, sub-accounts under your agency can only utilize apps that have been specifically installed for them. This setting prevents users from accessing new apps independently, ideal for maintaining operational consistency and security.

Auto-Approve Newly Added Apps: Enabling this feature allows newly launched apps to appear immediately in the marketplace without manual approval. This setting is beneficial for agencies looking to streamline app deployment and capitalize on new offerings promptly.

Managing Approved and Disapproved Apps in Go High Level

Navigating to the "Approved Apps" section within the settings provides you with a comprehensive list of currently approved applications. Here, you have the flexibility to disapprove apps that you no longer wish to make available to your clients. Disapproved apps will be hidden from the marketplace, ensuring users cannot access or install them.

Fine-Tuning App Visibility

For agencies that prefer a curated app experience, manually approving apps allows you to review and select which new applications appear in the marketplace. This approach ensures that only vetted and approved apps align with your business standards and client requirements.

Optimizing User Access

The flexibility provided by Go High Level's app management capabilities empowers agencies to cater to diverse client needs efficiently. Whether you choose to showcase all available apps, restrict access to installed apps, or curate a selective list of approved apps, you have full control over how your clients interact with the marketplace.

Hi there in this video we're going to be talking about how to hide and show what apps you want inside of your app marketplace now. The first thing, I want to point out, is I'm on the agency level of my ghl account now here on the side: navigation in the app marketplace. We're going to be able to move over to up here where it says, manage app permissions and we're in the right place now. The first thing you want to point out is this gear: cog click on the gear cog and you've now got the app permissions up. This is like your global permission, so we're going to turn everything off, so we can start turning things on and explain what happens when you turn something on right now. Nobody, but the agency users can access the so uh. The app marketplace agency users still need to access the app marketplace to be able to get the most out of their GHL account. It would be tricky to be able to not have the app marketplace turned on if you do have CSS. That is hiding the app marketplace and you just don't want your clients to be able to access it. This is how you want to be able to have it, and you want to remove the CSS because you're still going to be able to need to get in there for a lot of different reasons. We can talk about that in another video, though so, let's turn it on. So we're now saying that our sub-accounts can access the actual apps okay. So what we're doing here, is if this one's disabled, the users, can access only installed apps. So this is because uh some apps, let's say, agency, uh sub apps, which are apps. You can get it from the agency level that you install on behalf of your sub-account. You might want them to be able to access those apps, but you don't want them to access, maybe all of the other available apps. So this is what will happen when you have this off they're only going to be able to access apps that have been installed, maybe apps that you've installed for them, but they're not going to get access to be able to access any new applications, so let's turn this on now they can access pretty much all of the new applications. Now we'll talk about what the new applications are: um, because you're able to control what they are, what is it that you're going to be selling now? This last one auto approves newly added apps in the app marketplace. This is you saying the app marketplace is 100% open. All apps are always shown any app. That's launched on any day of the week will automatically be shown that day that minute, when it is launched okay, so this is fully open. When you have all three switches on now, agencies usually have one of two I would say mixed in, which is like this, where they have the second switch, either on or off, depending on how much access they might want to start giving with it a lot of the sas big sas companies have it fully on because they're just basically allowing for this upsell feature. Uh again, you can find more information about that in our other videos, how you can make more profit from the app marketplace um, but this gives you a good understanding of the global capabilities of how you're going to control the app marketplace for your uh users. Now what you're going to be able to do here is let's say we go into approved apps. You can see here that we have a few different apps and what I'm going to do is I'm just going to select all of these and I'm going to click disapprove now. What will happen? These apps will just not be found at all on the app marketplace for any of my users, meaning that I can control what is being shown now if it's disapproved, you can find it here in the disapproved area, and if we come back here to the global conditions, it's saying here: yes, it's fully open, but these apps are disapproved, so this one still won't be shown. Okay and again, if I go like this. Okay, now they're still not going to be shown because they're still disapproved apps, but the users can still access any of the apps that are approved. The difference here would, what would be let's say tomorrow, another five apps will be launched on the app marketplace, those apps wouldn't be shown until they've had your approval for them to be shown. So if you go through the app marketplace and you set it up let's say just the want where you want to uh, have only the uh particular approved apps that you would like to give to your clients: okay, um and you're like great. This is exactly what I want to approve I'll come back here next month or in a couple of weeks and I'll have a look at what uh new apps are available for me to be able to give to my clients, you would simply come over here. This is exactly how you would have this all set up and you would just have to come up to the all-app section. You would find the most recent apps near the top and you're going to be able to come over uh to here and then start selecting which ones you want to then start disapproving so very, very simple way for you to be able to control. What's shown in the disapproved what's shown in the approved and then also, having uh the global capabilities of showing absolutely everything as soon as it comes out, apart from what you've disapproved or showing um uh, allowing access to everything that you've approved or um allowing access to only apps that are installed or just no access whatsoever, so I hope this has helped a lot to understand how you're going to control what is being shown. What has been hidden, who has access to the app marketplace
